🚀 Account & Setup
Open the TaxFlow app and click Create account on the sign-in screen. Enter your name, email, and a password. You can optionally enter a business name. Once your account is created you'll land directly in the app.
On the sign-in screen, click Forgot password? and enter your email address. You'll receive a reset link within a few minutes. Check your spam folder if it doesn't arrive.
TaxFlow supports multiple years simultaneously. You can add any year using the + Add year button in the year tab bar. All years are visible side by side and you can switch between them with one click.
Yes — TaxFlow supports two user profiles per account (Household plan). This is designed for couples or business partners who share finances. Each user has their own transaction history, income, and deductions within the same account.
📄 Uploading Statements
TaxFlow can parse PDF statements from: TD Bank, Bluevine, Chase, Wells Fargo, Bank of America, Capital One, PNC, Santander, and American Heritage Credit Union. Any bank that exports a CSV file is also supported via the CSV upload option.
This usually means the PDF is image-based (scanned) rather than text-based. TaxFlow reads text from PDFs — it cannot read scanned images. Try downloading a fresh statement directly from your bank's online portal, which is typically text-based. If the issue persists, email us at support@gettaxflow.com and attach the statement (with sensitive info redacted).
Go to the Upload tab and drag in your CSV file. TaxFlow will attempt to auto-detect the columns. Your CSV should have at least a date column, a description column, and an amount column. If auto-detection fails, contact support and we'll add your bank to the supported list.
TaxFlow has built-in duplicate detection. If a transaction with the same date, amount, and description already exists, it won't be added again. It's safe to re-upload statements.
🏦 Bank Connection (Plaid)
Yes. TaxFlow uses Plaid, the same secure connection technology used by apps like Venmo, Robinhood, and Mint. Your bank login credentials are entered directly into Plaid's secure interface — TaxFlow never sees your username or password. The connection is read-only, meaning TaxFlow can only view transactions and cannot move money.
TaxFlow only connects to checking and savings accounts (depository accounts). Credit cards, loans, investment accounts, and mortgages are intentionally excluded — TaxFlow is focused on cash flow for tax purposes.
Go to the Upload tab and find your connected account in the "Connected accounts" section. Click the button next to the account. Your existing transactions will remain — only future syncing will stop. You can also revoke access directly through your bank's connected apps settings or at my.plaid.com.
Bank connections occasionally expire if you change your banking password or if your bank requires re-authentication. Disconnect the account and reconnect it — your existing transactions will stay in TaxFlow. Contact us if the issue continues.
💳 Transactions
TaxFlow uses keyword matching to automatically categorize transactions when they're imported. For example, transactions containing "Uber" or "Lyft" are categorized as Business Travel. Anything that can't be matched lands in Needs Review so you can categorize it manually.
Use the bulk editor — check the checkbox on each transaction row you want to change (or use the select-all checkbox in the table header), then use the bulk action bar that appears to reclassify them all at once. You can also use 🔁 Recurring to detect and bulk-categorize repeated merchants.
Yes — click the 📅 button on any transaction row to move it to a different year. This button only appears when you have more than one year set up.
Yes. In the Transactions tab, click + Manual to enter a transaction by hand. This is useful for cash payments, checks, or any transaction that doesn't appear in your bank statement.
🏷️ Categories
Deductible expenses are business expenses that reduce your taxable income — things like software subscriptions, office supplies, professional services, and business travel. Personal expenses are non-deductible and don't affect your tax calculation. TaxFlow tracks both so you have a complete picture of your cash flow.
Needs Review is a holding category for transactions TaxFlow couldn't automatically classify. You should periodically review these and assign the correct category. Transactions in Needs Review are not counted in your income or deduction totals.
📤 Exporting
Use Export Full CPA Package in the Transactions tab. This generates an Excel workbook with separate sheets for income, deductions, mileage, equipment, and a summary — everything your CPA needs in one file.
Yes — click 📄 PDF Summary in the export bar. This generates a formatted one-page PDF with your income breakdown, deductible expenses, mileage deduction, and net taxable income. Great for a quick overview or to share with an accountant.
Yes — click Export CSV in the export bar to download all transactions for the current year as a comma-separated file compatible with Excel, Google Sheets, or any spreadsheet app.
💳 Billing & Plans
The free plan includes full access to PDF and CSV statement uploads, manual transaction entry, all tax categories, mileage tracking, equipment depreciation, home office, retirement tracking, and basic CPA export (CSV and PDF summary). It supports one user profile.
The Household plan ($20/month or $192/year) adds a second user profile, direct bank connection via Plaid, cloud backup and restore, the advanced Excel CPA package with multi-sheet workbook, and PDF summary export.
Email support@gettaxflow.com and we'll cancel your subscription and confirm within one business day. You'll retain access through the end of your current billing period.
If you're unsatisfied within the first 7 days of a new subscription, contact us and we'll issue a full refund, no questions asked. After 7 days, refunds are handled on a case-by-case basis.
🔒 Your Data
Your transaction data is stored locally in your browser using localStorage. It never leaves your device unless you explicitly use the cloud backup feature. TaxFlow's servers only store your account profile (name, email, subscription status) — not your financial transactions.
Go to Settings → Cloud Backup and click ☁️ Backup to cloud. This saves a snapshot of all your data to your TaxFlow account so you can restore it on any device. You can also use Export CSV or Download Excel Workbook as a local backup.
To delete local data immediately, use Clear All in the Upload tab. To delete your TaxFlow account and all associated profile data, email support@gettaxflow.com with the subject line "Account deletion request" and we'll process it within 30 days.
